5 Signs Your CMMS Needs a Refresh

If technicians are working around your CMMS instead of through it, the system has already failed — here's how to spot it early.

Most CMMS platforms don't fail on day one. They fail quietly, months or years into an implementation, as workarounds pile up and data quality erodes. Here are five signs it's time for a serious review — not just a support ticket.

1. Work orders are closed out in bulk, after the fact

When technicians batch-close a week's worth of work orders from memory on a Friday afternoon, the system stops reflecting reality. Labor hours, failure codes, and parts usage all become guesses rather than records.

2. Your PM compliance number looks great but downtime doesn't improve

A high preventive maintenance completion rate paired with flat or rising unplanned downtime is a red flag. It usually means PMs are being marked complete without being executed to the written standard — or the PM strategy itself is misaligned with actual failure modes.

3. Planners maintain a shadow spreadsheet

If your planning team keeps a parallel spreadsheet for scheduling because "the system is too slow" or "doesn't show what we need," the CMMS has lost its role as the operational source of truth.

4. Asset data hasn't been touched since go-live

Asset hierarchies, criticality rankings, and BOMs that haven't been updated since implementation are a sign the system was configured once and abandoned, rather than maintained as the plant evolved.

5. Reporting requires an analyst, not a dashboard

If getting a reliability or cost report means emailing someone to pull data manually, the CMMS isn't feeding your business intelligence layer the way it should.

What to do about it

A CMMS refresh doesn't always mean a new platform. Often it means revisiting workflow design, retraining technicians on why data entry matters, and reconnecting the system to downstream reporting.
